Texas-based law firm is seeking a highly-qualified Commercial Litigation Secretary to provide administrative support to partners and associates in a very busy Litigation Group in downtown Dallas!

 

The Legal Secretary will principally work under the supervision of the supervising attorney(s) and provide support to the Litigation Group in the Firm. This position enhances attorney effectiveness by providing information and support; representing the attorney(s) to clients and others. The assigned work is in the commercial litigation and /or personal injury practice area, construction and other litigation matters. The legal secretary will coordinate schedules, draft legal documents, take messages and answer telephone calls, file and coordinate case filing projects with the assigned file clerks if applicable. The candidate must possess a team oriented work ethic and attitude and logical mind and be able to follow instructions and resolve conflicts and relating well with various types of persons. Essential Duties, Responsibilities and Requirements:

  • Ability to work under the supervision of the assigned attorney(s) and provide support to the litigation group.
  • Welcomes guests and clients by greeting them in person or on the telephone; answering or directing inquiries.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and expense reports.
  • Maintains attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; dockets court imposed deadlines.
  • Represents attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney.
  • Assists in submission of billable time and reimbursable expenses; preparing invoices and communicating with clients concerning invoices.
  • Maintains client confidence by keeping client/attorney information confidential.
  • Utilizes electronic filing and retrieval systems and supervises file clerks.
  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests and special projects; exploring opportunities to add value to job accomplishments and make recommendations.
  • Working knowledge and experience of the law firm industry including office and department procedures, work flows and organization.
  • Knowledge and experience with e-filing procedures.
  • Ability to effectively communicate with clients, court personnel, counsel, third parties, private investigators, medical providers, experts, etc., and maintains regular contact with all parties.
  • Consistent follow-through and ability and flexibility to multi-task and effectively balance priorities and meet tight deadlines.
  • Communicates well, shows teamwork effort, and collaborates well with everyone you come in contact with.
  • Exceptional customer service and people skills and work with in a team concept.
  • Special projects as assigned.

 

Qualifications:

  • High School Diploma required for this role.
  • Two (2) year or Four (4) year undergraduate degree or technical/trade school degree preferred but not required.
  • A minimum of 3 to 5 years’ experience and exposure working as a legal secretary in a law firm in the litigation group required.
  • Exceptional computer skills and proficiency using Microsoft Office products, including Word, Excel, Outlook, PowerPoint, and Adobe Software.
  • Experience working with various practice and case management databases (iManage), and timekeeping and billing systems.

Salary:  $75,000-80,000 DOE
