Executive Assistant to COO (DFM #661)

The Executive Assistant provides administrative support and assistance to the COO and performs any and all tasks to ensure the COO can maximize time in focusing on strategic areas relating to the ongoing development of the Firm.

 

Essential Duties and Responsibilities:

  • Maintains complex schedules with excellent attention to detail.
  • Manages workload and prioritizes tasks in a fast-paced legal environment.
  • Anticipates needs of COO for maximum efficiency and impact with all communications, tasks, meetings & projects.
  • Coordinates internal/external meetings, logistics and communications.
  • Assists in coordinating Management Committee, All Partner and other all attorney meetings.
  • Acts as an extension of COO and maintains relationships with the upmost professionalism.
  • Manages correspondence and calendar for maximum strategic impact.
  • Performs secretarial support, including composing legal documents, memos, correspondence, and other items of a confidential and complex nature.
  • Completes expense reports and manages receipts.
  • Manages travel arrangements, including travel to other firm offices domestically and internationally.
  • Manages files for efficient and effective organization.
  • Ensures that the COO is prepared for and meets all key deadlines.
  • Partners with other key staff members to schedule meetings and strategize on key deliverables.
  • Performs other miscellaneous administrative duties as needed.

Qualifications:

-Bachelor’s degree is a plus!

-5+ years as C-Level Executive Assistant required

-Law firm environment preferred

-Strong proficiency in MS Word, Outlook, Excel and PowerPoint

-Highly efficient with great attention to detail

-Maintain strict confidentiality

-Highly motivated, professional, and capable

-Excellent written, verbal and interpersonal skills and the ability to interact effectively with attorneys, staff and peers

-Ability to work under pressure and handle multiple tasks efficiently

-Should exercise good judgment, be well organized and have excellent communication skills

Salary:  $65,000-70,000 DOE
