Looking to join a dynamic, international law firm where your hard work, attention to detail, and organizational skills are valued?  Look no further!  My client, a high-profile, law firm is seeking a Legal Administrative Assistant to support their Chicago office.  This successful candidate will be a team contributor supporting two attorneys in IP, Litigation, in addition to being the office liaison with building management.

 

Basic Function:

-This non-exempt position provides administrative and secretarial support to their Chicago office

-Greet clients, answering inbound calls, typing, filing and scheduling

-Performs duties such as coordination of meetings/conferences, obtaining supplies, coordinating direct mailings, and working on special projects

 

Essential Duties:

-Handle confidential and non-routine information

-Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, client bills, time reports and expense reports

-Take message or field/answer all routine and non-routing questions

-Organize and prioritize large volumes of information and calls

-Act as liaison with other departments and other offices.  Work independently and withing a team on special, nonrecurring and ongoing projects

-Coordinate meetings and appointments, and properly receives clients/guests, as requested; keeps appointment calendar for attorney (including hearings, court appearances and other commitments)

-Sort and distribute mail; opens mail for the attorneys, drafts written responses or replies by phone or email when necessary

-Coordinate travel arrangements

-Order supplies and food as needed for the office

-Copies, distributes, sends files and otherwise handles completed work

 

Qualifications:

Knowledge/Experience

-3+ years of office experience within a law firm or corporate in-house or professional services environment

-Knowledge of paralegal skills is a plus

-Excellent computer proficiency (Word/Excel/PowerPoint/Outlook)

-Willingness to learn new software/applications is preferred

Skills

-Must be detail oriented

-Must possess strong client focus, strong written and verbal communication skills

-Ability to work with different types of personalities at all levels

-Strong organizational skills are required to plan, prioritize, and organize diversified workload

Education

-Some college work preferred

Law firm provides an exceptional benefit package along with beautiful offices in downtown Chicago!  Hours are 8:30-5:00 Monday-Friday.  Occasional overtime may be required.

 

Salary:  $68,000-70,000 DOE
