Our client, a large full-service law firm with offices in 7 cities across the U.S., is in search of a Legal Administrative Assistant-Litigation to join their Dallas office. This position will provide support to attorneys and paralegals in their litigation practice group.  Must have excellent organizational skills and must be able to work in a fast-paced environment.  The ideal candidate will have at least 2+ years of experience in administrative support at a law firm, preferably in litigation, and an Associate degree or equivalent experience.  This non-exempt position is eligible for a hybrid work schedule!


Job Responsibilities:

  • Produces, edits and formats correspondence, memoranda, reports and other legal documents utilizing a computer, transcription equipment, and other office equipment.
  • Answers and screens calls in a courteous and timely manner and provides client assistance when needed.
  • Reviews, sorts, and dates incoming mail and faxes. Ensures that outgoing mail and faxes are delivered in a timely If necessary, processes and routes mail to specific delivery service and follows up on timely delivery.
  • Establishes and maintains calendar and deadline reminder systems; utilizes Firm’s centralized docketing and calendar system and enters client data into restricted and non- restricted departmental databases.
  • Requests conflict of interest reports with File Opening/Conflicts, opens new clients and/or matters, and maintains all client and general files. Conducts periodic review for possible storage of older files and prepares files to be closed.
  • Receives clients and visitors; maintains good public relations with clients; and observes confidentiality of attorney-client relationships.
  • Manages attorney calendars, schedules appointments and coordinates travel
  • Processes bills under traditional hourly and fixed-fee billing structures; proofs billing statements; reviews and edits bills.
  • Processes expense reports through Chrome
  • Collaborates with administrative support staff (document production, receptionists, business office, etc.); proofs documents returned from document production; insures that attorney timesheets are entered and released in a timely manner.
  • Shares overflow responsibility in document management, filing, photocopying or other legal administrative duties as time permits and as requested by the Practice Support Team Coordinators or other attorneys. Also assists other LAAs with their workload in a team
  • Researches and obtains a wide variety of information or documents requested by attorneys and/or paralegals.
  • E-files documents in federal and state courts.


Job Requirements:

  • Ability to transcribe legal documents, correspondence and reports from rough draft, dictation or transcription at a level of 70 wpm preferred.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread typed material for grammatical, typographical or spelling errors.
  • Interpersonal skills necessary in order to communicate by phone and provide information with ordinary courtesy and tact.
  • Must have ability to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
  • Work occasionally requires a high level of mental effort and strain while producing a high volume of information and performing other essential duties.
  • Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others.
  • Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone.
  • Must possess attention to detail, ability to balance multiple projects and have strong time management skills.
  • Must have ability to reason and apply common-sense understanding to situations
  • Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.
  • Ability to work overtime as needed.

Salary:  $70,000-85,000 DOE
