The Dallas office of an international law firm has an immediate opening for a skilled Office Assistant.  This position will provide administrative support to the office through a variety of different functions including library, records, facilities, client relations, receptionist coverage, and CLE coordination.  Also will support the overload of secretarial and paralegal duties and act as an assistant to the Office Administrator.

 

Primary Job Responsibilities:

-Maintain the budget and event spreadsheets for client relations memberships/sponsorships and charitable contributions.

-Work with the Office Administrator and/or Marketing Department on all aspects of events including researching locations, hiring vendors, managing budget, attending events.

-Assist with the administrative aspects of recruiting-inputting data in viRecruit database, coordinating interviews, and posting and renewing ads.

-Assist with coordination and recruitment of the Summer Associate program.

-Complete new staff and attorney onboarding and hire orientation.  Assist with office setups for new employees.

-Perform general paralegal clerical assistance with tasks such as organizing of files/documents, preparation of notebooks, photocopying, and preparation of exhibits.

-Process CLE applications for the State of Texas, for all attorneys licensed in Texas.

–Coordinate with Library staff from other offices; ordering all books; maintenance of all subscriptions and updates from month-to-month and year-to-year.

-Provide reception break relief for lunch and morning and afternoon breaks.  Receive clients and visitors and handle incoming telephone calls.

-Coordinate office community service events.

 

Specific Skills:

-Strong customer service and communication skills.

-Ability to prioritize and complete multiple tasks, effective organizational skills and the ability to make timely decisions.

-Solid word processing skills (MS Office)

-Skills in standard word processing, spreadsheet, database and email computer software programs.

 

Experience:

-At least two years experience in a general office environment

Salary:  $35,000-40,000
