Practice Group Administrator (DFM#634)

High-profile, international law firm is seeking a Practice Group Administrator to manage and coordinate the administrative functions of the various practice groups!


Position Overview:

  • Regularly distributes materials, information and updates vital to the PG.
  • Maintains listings of lawyers licensed to appear in various Federal Courts and updates on an annual basis (this includes the annual licensing of first year Associates to appear in the Northern District).
  • Assists with departing attorneys by ordering relevant reports from accounting, working with the Practice Group Leader (PGL) on client retention plans, reviewing client letters to ensure compliance with Firm policies, coordinating technology and client transfer files with IT, working directly with the departing attorney to provide him/her with Firm policies, and ensuring that open work gets reassigned appropriately. Reviews departing attorney materials prior to release to attorney and maintains departing attorney work reassignment and Schedule A lists.
  • Maintains addresses of former firm PG attorneys and forwards mail to PG Departing Attorneys after departure from Firm.
  • Handles cold calls and referral requests.
  • Maintains PG referrals and resources.
  • Coordinates swearing in of newly licensed lawyers and registration for required courses.
  • Coordinates outside training registrations and opportunities.
  • Oversees and coordinates work allocation and assimilation of Summer Associates rotating through PG and oversees and coordinates Summer Associate evaluations.
  • Maintains regular contact with lateral attorneys to ensure proper on-boarding and integration and reports any issues to PGL and Professional Development Team.
  • Develops and maintains PG Intranet site, keeping content fresh and accurate.
  • Plans PG events such as welcome events and lunches for new attorneys, alumni, section, summer (working in tandem with recruiting), Practice Academies and PG retreats.
  • Responsible for the development of, work allocation to, and performance management of the paralegals within the PG.
  • Coordinates Associate performance management meetings.
  • Coordinates internal PG engagement activities and meetings to foster positive and open communication.
  • Works with PGLs to develop, implement, and update knowledge management portals in collaboration with IT.
  • Performs a variety of administrative tasks and general administrative support to the PGL and Practice Business Manager as needed.
  • Oversees the assignment of offices, file space and workrooms for the Practice Groups (PGs) as well as makes recommendations for Professional Assistant and Associate advisor assignments.
  • Other projects as assigned.

Minimum Qualifications:

-Bachelor’s Degree required.

-5+ years of experience in practice group administration in a law firm or professional services environment preferred.

-Strong interpersonal skills and proven ability to manage projects in a collaborative fashion.

-Ability to interact effectively with lawyers, staff and peers.

-Strong administrative, planning, and organizational skills.

-Exceptional written and oral communication skills.

-Strong technological proficiency.

-Requires regular and predictable attendance during the assigned work schedule.

-Ability to travel to other offices as needed.
