National law firm is seeking an experienced Records Manager professional to lead the records management program.  This position will be responsible for establishing governance and oversee operations necessary to manage the firm’s physical records.


Responsibilities Include:

  • Oversee physical records staff as a part of an overall information governance program and support all ongoing initiatives as well as new projects as assigned.
  • Create, implement, update, and maintain procedures for the records team; develop and train new employees on the Firm’s new Information Governance program, FileTrail.
  • Build positive relationships and communicate effectively with co-workers, management, and vendors.
  • Manage the Firm’s offsite records management company relationship, negotiating pricing and related contract terms and conducting audits to confirm confidentiality protocols are in place.
  • Work closely with the firm leadership to ensure that all client files are managed for proper record creation, accurate record keeping, and confidentiality, and secure custody and control.
  • Take lead responsibility for the Firm’s physical records retention and destruction programs, ensuring compliance with Firm policies.
  • Oversee the Firm’s client physical records lifecycle, from creation through preservation to disposal.  Follow established procedures, rules, records and information management policies and procedures.
  • Participate in establishment and ongoing management of the Firm’s records management system.  Develop, maintain and verify system protocols are consistent with Firm policies and procedures for maintenance of all physical and electronic client records.
  • Oversee lateral movement and transfer of client records, both physical and electronic, inside and outside of the Firm.
  • Work closely with Conflicts team members on file closings, often as they relate to lateral attorney movement.
  • On at least an annual basis, build a qualitative and quantitative snapshot as to how electronic information and paper documents are being used for purposes of workflow efficiency, added value, reduced risk and reduced waste.
  • Conduct new hire orientation, communicating records management protocols and policies as well as procedures for use of copy center services.
  • Additional duties as required.


Primary Requirements:

  • Four Year College degree, or equivalent combination of education and work experience.
  • 5+ years of physical records management experience, preferably in the legal field or professional services environment.
  • Prior experience with automated records management software; FileTrail preferred.
  • Ability to communicate with executives and attorneys.
  • Ability to work with IT to understand technology related to records management; ability to convey records management requirements to IT.
  • Critical thinking and problem solving skills a must.
  • Strong knowledge and understanding of current records management practices.
  • Strong leadership skills and willingness to function as role model.
  • Ability to physically manipulate documents and occasionally lift up to 40 pounds is necessary.
