Job Description

National Law Firm is seeking a Practice Group Assistant to join their Corporate, Commercial Transactions & Outsourcing Practice Group in Dallas! The Practice Group Assistant will support the group’s Business Development and Marketing Initiatives and provide administrative assistance to attorneys.

Essential Duties, Responsibilities, and Requirements

  • Provide support for the practice group’s business development and marketing initiatives.
  • Assist in developing and implementing strategies to cultivate business with current and prospective clients.
  • Coordinate the scheduling and execution of events, sponsorships, webinars, and speaking engagements.
  • Work with the firm’s business development team to effectively promote the successes of the attorneys, including identifying media, publishing, and speaking opportunities that align with the profile-raising objectives of the practice.
  • Coordinate marketing expense approvals and help manage the practice group budget.
  • Handle business development software-related functions; develop and maintain marketing lists and business development activities, research, reports, etc.
  • Provide clerical and administrative support to attorneys.
  • Enter attorney time; review and revise timesheets accurately.
  • Manage and monitor the calendaring of deadlines and key dates.
  • Schedule conference calls and meetings.
  • Review and process client billing in a timely manner.
  • Assist in researching and resolving billing questions from clients.
  • Prepare conflict of interest checks and open new client files.
  • Prepare engagement letters and conflict waivers.
  • Process expense reports/reimbursement requests.
  • Other duties as assigned.

Qualifications

  • 1-2 years of administrative experience, preferably within a law firm or other professional services organization.
  • Strong project and process management experience.
  • Proficiency with MS Office Suite and marketing databases.
  • Good working knowledge of document management systems.
  • Superior written and verbal communication skills.
  • Strong attention to detail and excellent organizational skills.
  • Ability to handle and adjust to competing deadlines and priorities.
  • Strong interpersonal and teamwork skills with a high degree of professionalism.
  • Flexible to manage demands outside of traditional business hours, when needed.
